Online courses

In the event of technical difficulties that prevent the course from running as scheduled, we will make reasonable efforts to resolve the issue promptly. Users will be given the option to reschedule the course or receive a full refund. We reserve the right to determine the appropriate remedy in cases of technical difficulties, which may include rescheduling the course, providing a substitute course, or issuing a refund.

Third-party products and services

We may offer services and products from third-party companies, such as Amazon, through affiliate marketing links. Users will be redirected to the third-party website for the purchase of these products. We are not responsible for any issues, including but not limited to, product quality, delivery, and customer service, arising from the purchase of third-party products. Any claims, damages, or disputes must be resolved directly with the third-party provider. We disclaim all liability in relation to such transactions.

Payment terms and charges for Therapeutic Services

During your session with us, we may conduct administrative matters as part of our Services as may be efficacious, including scheduling follow-up sessions or communicating important information with persons to which we have been authorised by you. Time spent on such matters is integral to our Services and will be part of your session.

We may extend your session to allow extra time where necessary. Extensions are charged in blocks of 15 minutes unless otherwise stated.

Different rates will apply depending on the chosen Service. Please check with us for the full list of rates and charges.

Please arrive on time for your appointment, we are unable to extend the duration of your appointment if you are late. Fees payable for your appointment remain the same regardless of the time you arrive. Refunds are not provided once a session has started.

Cancellation policy

We have a strict policy on cancellations and no-shows. If you are unable to make a scheduled appointment, please reschedule in advance so that another person may utilise your allotted time. Cancellations or no-shows are subject to the following charges:

We also retain discretion on increasing the charges payable for cancellations happening more than once.

In the event that a consultant falls sick or is otherwise unable to attend a scheduled session, we will notify you as soon as possible. You will be given the option to reschedule the session or receive a full refund.

Terms and Conditions for The Upper Room (Therapy Room Reservations)

By booking a therapy room with AO Psychology, you agree to comply with these terms and conditions. AO Psychology reserves the right to take any legal action necessary in the event of non-compliance with these terms:

1. Booking and Payment

  • All room reservations must be made through our online platform or via phone at least 24 hours in advance.
  • Full payment is required at the time of reservation to secure your room.
  • We accept major credit cards for payment.

2. Cancellations and Refunds

  • All bookings are strictly non-refundable.
  • However, therapists may reschedule their appointment by notifying us at least 24 hours in advance.

3. Usage of Rooms

  • Rooms are only available for professional mental and physical wellness therapies or wellness-related services only. These include for example, individual, couples, group, yoga, children and adolescent, nutrition, dietetics therapy and counselling-related services.
  • They must not be used for illegal, inappropriate, or non-professional activities.
  • The booking client is responsible for ensuring that the room and equipment are used appropriately and left in the condition they were found.
  • AO Psychology reserves the right to refuse service to clients who misuse the facilities or violate these terms.

4. Room Availability and Access

  • Room availability is subject to prior bookings, and rooms are reserved on a first-come, first-served basis.
  • Each session booked will facilitate a 60 or 90 min usage of the room.
  • Therapists should factor in within the allocated slot, a 5-10 min allowance for set-up and pack-up.
  • Late arrival does not entitle the client to extended room usage, and the session will end at the pre-agreed time as other therapists may have booked the ensuing slot.

5. Client Confidentiality

  • AO Psychology upholds the highest standards of client confidentiality. However, the booking therapist is responsible for maintaining the confidentiality and privacy of their own clients within the therapy room.
  • Any breach of confidentiality or professional misconduct must be immediately reported to AO Psychology.

6. Liability

  • AO Psychology is not liable for any personal injury, loss, or damage to property that occurs while using the therapy rooms.
  • The therapist booking the room is fully responsible for their clients’ safety and any potential damage to the property or equipment.

7. Conduct and Professionalism

  • All therapists must be certified professionals with appropriate qualifications and insurance coverage relevant to their practice.
  • Professional and ethical conduct is expected at all times. AO Psychology reserves the right to terminate any bookings without notice or refund if the therapist fails to maintain appropriate standards of behavior.

8. Insurance and Legal Compliance

  • All therapists must have valid professional indemnity insurance and comply with all legal requirements relevant to their field of practice.
  • AO Psychology reserves the right to request proof of qualifications, insurance, and legal compliance at any time.

9. Cleaning and Maintenance

  • The rooms must be kept clean and tidy. Any damages or excessive mess caused by the therapist or their clients must be reported, and the therapist will be held financially responsible for any repairs or cleaning required.

10. Termination of Service

  • AO Psychology reserves the right to terminate the room booking agreement if any of these terms and conditions are violated or if there is any misuse of the facilities. No refunds will be given in such instances.

11. Indemnity Clause

  • The therapist (booking client) agrees to indemnify, defend, and hold harmless AO Psychology, its employees, agents, and affiliates from and against any and all claims, liabilities, damages, losses, costs, or expenses (including reasonable legal fees) arising out of or in connection with:
    • Any injury or damage to persons or property occurring in or around the therapy rooms during the period of booking.
    • Any breach of these terms and conditions by the therapist or their clients.
    • Any claim made by third parties, including clients of the therapist, in relation to the services provided by the therapist within the AO Psychology premises.
    • Any act of negligence, wilful misconduct, or unlawful activity conducted by the therapist or their clients while using the therapy rooms.
  • This indemnity applies to claims arising from the actions or omissions of the therapist, their clients, or any other party engaged by the therapist.

Terms and Conditions for Courses & Workshops

By enrolling in any course or workshop facilitated by AO Psychology (including but not limited to educational classes, somatic movement, yoga, and body-based practices), you acknowledge and consent to the following terms and conditions:

1. Purpose of Participation
AO Psychology courses and workshops are designed to provide educational, therapeutic, and wellness-related experiences that promote mental, emotional, and physical well-being. While some courses are lecture-based, others may include physical movement (e.g., yoga, somatic exercises).

2. Voluntary Participation & Physical Readiness
You confirm that your participation is entirely voluntary. For workshops involving physical movement, you affirm that you are in suitable health to participate and will consult a medical professional if you have any health concerns prior to attending. You agree to listen to your body, modify exercises where necessary, and stop any activity that causes discomfort.

3. Acknowledgement of Risk
While every effort is made to provide a safe and supportive environment, you understand that participation in somatic or movement-based activities carries inherent risks. These may include (but are not limited to) physical discomfort, strain, or injury. By participating, you accept full responsibility for any risks, injuries, or damages—known or unknown—that you might incur as a result.

4. Confidentiality and Respectful Conduct
You agree to uphold confidentiality regarding personal information or experiences shared by other participants. You will also maintain respectful conduct toward facilitators and fellow participants at all times. AO Psychology reserves the right to remove any participant who displays disruptive, harmful, or inappropriate behavior without refund.

5. Liability Release
By attending an AO Psychology workshop or course, you waive, release, and discharge AO Psychology and its facilitators from any and all liability, claims, demands, or causes of action that may arise from your participation. You understand that AO Psychology does not carry medical or liability insurance for participants and that you are responsible for your own insurance coverage if needed.

6. Intellectual Property & Recording
All course materials, presentations, and exercises are the intellectual property of AO Psychology or the respective facilitator. You agree not to record, reproduce, or distribute any course materials without prior written consent. For quality and training purposes, certain sessions may be recorded by AO Psychology—with notice and participant consent.

7. Cancellations and Refunds
Unless otherwise stated, bookings are non-refundable. Cancellations made more than 48 hours prior to the scheduled workshop may be eligible for a one-time transfer to a future session (subject to availability). AO Psychology reserves the right to cancel or reschedule any course or workshop with reasonable notice; in such cases, participants will be offered a rescheduled date or credit.
